Property Management Officer



Jordan Xavier Ltd are seeking to recruit an individual for the role of Property Management Officer. Key responsibilities will involve managing properties through clear aims and objectives to meet the assessed priority needs of young people within the parameters of legislation, good practice, and policy. Must have excellent customer and organisational skills and will be responsible to the Director.

Responsibilities will include the following:

1. To ensure properties (within all of London and Home Counties, including Surrey) are made ready for occupation and return by managing repairs and cleaning etc. This will include dealing with contractors to rectify damage or cleaning that is required within the property.

2. To make the Director / Placement Officer aware of empty stock and time frames for readiness or return.

3. To facilitate the move of new young people and handover to keyworker. To ensure that the starter pack is available at the property. Thereafter, handling queries regarding the maintence and repairs of properties occupied. 

4. To undertake property viewings as required, and report these back to the Placement Officer and Director.

5. To ensure all certificates for properties are in place and renewed as required, and that this is updated onto the company online systems.

6. To ensure positive working relationships are maintained with landlords and agents to ensure properties are fit for purpose, and that inventories are maintained, including written reports, photos, and videos.

8. To undertake property inspections monthly in London and Home Counties and send reports to the Director. This will also include quarterly visits to our West Midlands properties to carry out detailed property inspections. (Overnight stays maybe required).

9. To facilitate the check-out of all properties, undertake inventory, repairs and return of keys to landlord/agent if required. Deal with void properties and re-lets.

10. To maintain a comprehensive list of suppliers and contractors and ensure that regular quality assurance is completed on them for their continued use.

11. Ensure the full and correct use of all information systems, including an online calendar, is adhered to, and that the company’s systems are up to date with all necessary information. Record and create audits for all property visits and contact with individuals.

12. Participate in service developments including planning, control, monitoring, review, and evaluation activities to ensure continuous improvements in service delivery. To also be re-active to the needs of emergency occupancy of a property by a young person.

13. To be flexible in order to be able to provide occasional evening and weekend work, as the role involves some out of hours and on-call which could include weekends and public holidays. This is to enable us to provide full coverage as we operate 7 days a week 365 days a year.

14. Please note that notwithstanding the responsibilities mentioned as above, the job holder will undertake such work as may be determined by the Director from time to time, up to or at a level consistent with the principal responsibilities of the job and in any appropriate location required by the Director.
